Every Association bill,
collected before it is late.
Invoice Crawler logs into the portals your bills hide in, collects the statements, checks each one for billing errors and usage surges, and routes it to the right AP inbox - CINC, QuickBooks, BILL, AvidXchange, or whichever database that Association's book lives in.
Every figure on these screens is fictional sample data, created to show how the product works.
Sound familiar?
The bill never arrives
It lives inside a provider portal nobody logged into this month. You find out when the late fee posts, or when the water is off and a Board member is calling.
One person holds the passwords
Logins live in a spreadsheet, a browser profile, or somebody's head. When they are on holiday - or gone - a portfolio of accounts goes quiet.
The bill lands in the wrong book
Four accounting databases, four AP inboxes. A statement filed against the wrong Association is a reconciliation problem for somebody three weeks from now.
Three ways we take vendor bills off your plate
E-delivery enrollment
The durable path: we switch each account to electronic billing addressed to a dedicated ingestion inbox, so the bill comes to us and no password is needed at all.
- A unique address per vendor account
- Survives portal redesigns and password rotations
- Attachments parsed, matched and filed automatically
Authorised portal retrieval
For vendors that only publish to a portal, we log in on your behalf and pull the statement down - credentials encrypted per tenant, MFA codes routed to a contact of record we control.
- Per-account locking, so two sessions never race a portal
- CAPTCHA and lockout detected and reported, never guessed at
- Every attempt logged with what it saw
Audit and routing
Every statement is normalised to cost per day and rate per unit, checked against that account's own history, then delivered where that Association's book actually lives.
- CINC, QuickBooks, BILL, AvidXchange or any mailbox
- Per-database AP inbox, so nothing lands in the wrong book
- PAID BY EFT watermark on anything already paid
Built for the way CAM teams actually work
Not a generic AP tool with an HOA logo on it. The awkward parts of this industry - several accounting databases under one firm, Associations that change managers, vendors that only talk to a portal - are the parts it was designed around.
And it sits inside the sliceo portal with everything else we run for you. One sign-in, not ten.
- Multiple client databases, each with its own AP inbox
- Association and GL matched from the service address
- Duplicate control by document fingerprint, not filename
- Work queue grouped by cause - one portal redesign is one job
- Water and electric surges flagged to the people who can act
- Cost per unit benchmarked by market, once enough firms contribute
The boring guarantees, in writing.
Four steps, then it runs itself.
Load the portfolio
Associations, vendor accounts, and which database each one bills into. Import or add as you go.
Enroll each account
E-delivery where the vendor supports it; supervised first login where it does not, with the MFA contact moved to us so the next run needs nobody.
Let the sweep run
Every day, accounts due are checked. New statements are read, audited, and queued.
Work only the exceptions
Everything clean is delivered without you. What is left is a short queue of real problems.
Per Association, per month - and it never stops crawling.
portfolio-wide
- Portfolio-wide: $5, $10 per Association / month. Put every Association under management on Invoice Crawler and the per-Association rate scales down with the size of your portfolio.
- Single Association: $25 / month when you want to run it on just one.
- Billed every month whether or not a bill comes in. Invoice Crawler keeps crawling every enrolled account monthly - often more - so a quiet month is still a covered month. Fees are not waived, because the watching never stops.
- Unlimited vendor accounts per Association.
- Every Association is itemised on your billing page, with the work done for each.
- Turn it on yourself from the client portal. No setup fee, no per-user seat.
Things firms ask us first.
Do you need our vendor passwords?
Only for vendors that will not send bills electronically. Wherever a provider supports e-delivery we use that instead, which needs no password at all. Where a login is required it is encrypted with a key belonging only to your firm, and the MFA contact is moved to an address we control so nobody on your team is relaying codes.
Which accounting systems can it deliver into?
CINC, QuickBooks Online, BILL, AvidXchange, and any system that accepts documents by email. Each target's rules are enforced before sending - QuickBooks, for instance, silently ignores attachments under 46 KB and mail from unregistered senders, so we check both rather than reporting a delivery that never landed.
We run four databases. Does that work?
Yes, and it is a first-class part of the model rather than a workaround. Each database has its own AP inbox, each Association belongs to one database, and delivery resolves Association override first, then database default, then firm default.
Can it pay the bills too?
No, deliberately. Invoice Crawler collects, audits and routes; your team approves and pays inside your own accounting system. Anything already paid by EFT is watermarked before it reaches your AP inbox, so it cannot be paid a second time by ACH.
What happens when a portal changes?
The run fails with a specific reason instead of silently returning nothing, and the failures cluster in one queue item rather than forty. Most portals are described by configuration rather than code, so a redesign is usually a settings change, not a release.
Is this a separate login from your other products?
No. It lives in the same sliceo portal as Violations IQ and Rental Tracker, on the same account. You add it from the products page, and it appears in the switcher next to everything else you already use.
Be first in when the demo opens.
We will send you a working environment and ask one question: which vendors cost your team the most time today.
We only use this to contact you about Invoice Crawler. No list, no resale.
